Challenge

With a global workforce exceeding 12,000 employees, the imperative to digitize, store, and facilitate secure access to HR records became crucial for one of the largest investment companies worldwide. Faced with the challenges of an error-prone, time-consuming, and expensive legacy system, the company sought the expertise of NeoLotex to propose an alternative solution.

The company’s requirements centered around a comprehensive solution that would digitize all documents related to individual employees—from CVs and offer letters to contracts and everything in between—at the point of receipt. These documents needed to be electronically stored, ensuring seamless accessibility from any location across the globe.

Solution

NeoLotex proposed the utilization of the Kodak ScanMate i1150 Scanner, establishing five scanning stations strategically positioned to capture all incoming documents at the organization’s entry point. Post-capture, the documents are seamlessly uploaded to NeoLotex’s exclusive PExTAB, a zero-code DMS platform featuring a workflow engine.

In close collaboration with Kodak Alaris, NeoLotex ensured the seamless integration of the scanners with the PExTAB platform on the technical front. The scanners from Kodak Alaris not only deliver superior image quality but also employ compression techniques, facilitating the quick and efficient transfer of files, particularly in scenarios with latency and bandwidth challenges.
